Privacy Policy
MyChefVision is built on a single principle: your kitchen's data belongs to you. This policy explains what we collect, why, and how we protect it.
1 Overview & Scope
This Privacy Policy describes how MyChefVision, Inc. ("MyChefVision," "we," "our," or "us") collects, uses, discloses, and safeguards information when you use our restaurant kitchen monitoring platform, web dashboard, mobile applications, and related services (collectively, the "Service").
This policy applies to:
- Customers — restaurants, kitchens, and hospitality groups that subscribe to MyChefVision.
- Authorized users — owners, operators, managers, chefs, and staff invited to use the Service.
- Visitors — anyone visiting our public marketing website.
By using the Service, you agree to the practices described in this policy. If you do not agree, please discontinue use.
2 Information We Collect
Account & Contact Information
When you sign up for or use the Service, we collect information you provide directly:
- Name, business email, business phone, and job title.
- Brand or restaurant name, head office address, and outlet locations.
- Billing details (processed by our payment provider; we do not store full card numbers).
- Information you submit during onboarding, including kitchen layout, staffing structure, recipes, SOPs, and hygiene policies.
Operational Event Metadata
Our edge devices process camera feeds locally and generate metadata describing kitchen activity — such as "chef X plated dish Y at 14:32" or "hand-wash compliance event at station 3." We collect this metadata to power the dashboard, analytics, and alerts.
Usage & Device Data
We automatically collect technical data when you use the Service, including IP address, browser type, device identifiers, pages viewed, and timestamps. We use cookies and similar technologies as described in our Cookie Notice.
Communications
If you contact our support team, complete a demo request, or subscribe to our newsletter, we retain the contents of those communications and our responses.
3 Biometric & Video Data
Raw video from your kitchen cameras is processed on the edge device located in your kitchen. By default, video frames are not transmitted to or stored on our servers.
Some features of the Service are optional and only operate when explicitly enabled by an authorized account administrator:
- Chef face recognition — derives a numeric face embedding from reference photos you upload. The embedding is used to identify staff in real time on the edge device.
- Movement & pose tracking — generates skeletal coordinates for posture and motion analysis; no images are retained.
- Annotated event clips — short video segments saved only when you explicitly request retention for compliance, audit, or training purposes.
Where required by law (including under GDPR Article 9, BIPA, and similar regimes), we will only enable biometric features once the customer confirms it has obtained valid consent from staff. Biometric data is not sold, rented, or used for advertising under any circumstances.
4 How We Use Information
We use the information described above to:
- Provide, operate, monitor, and improve the Service.
- Configure recipe intelligence, hygiene compliance rules, and chef analytics for your kitchens.
- Send transactional messages: account alerts, security notices, billing receipts, and service updates.
- Respond to support requests, debug issues, and prevent abuse or fraud.
- Train and improve our AI models — strictly on aggregated, anonymized data, and only where you have not opted out.
- Comply with legal obligations and enforce our agreements.
6 Data Retention
We retain information for as long as needed to provide the Service and for legitimate business purposes:
- Account & configuration data — for the duration of your subscription plus 90 days.
- Event metadata & analytics — by default 12 months; configurable in your settings up to a contractual maximum.
- Annotated video clips — for the period you specify in the dashboard (default 30 days).
- Billing records — for 7 years to satisfy tax and audit obligations.
When you cancel your subscription, we delete or anonymize personal data within 90 days unless a longer retention period is required by law.
7 Security
We protect your information with industry-standard controls:
- Encryption in transit (TLS 1.3) and at rest (AES-256).
- SOC 2 Type II audited environments and regular third-party penetration testing.
- Role-based access control, mandatory MFA for our staff, and the principle of least privilege.
- Edge devices ship with secure-boot firmware and signed model updates.
No system is perfect. If you believe your account has been compromised, contact us at security@mychefvision.com immediately.
8 International Transfers
MyChefVision operates regional data centers in the United States, the European Union, and the Gulf region. We store and process your data in the region selected during onboarding. Where data is transferred across borders, we rely on Standard Contractual Clauses or equivalent safeguards approved by the applicable supervisory authority.
9 Your Rights
Depending on your jurisdiction, you may have the right to:
- Access, correct, or delete personal data we hold about you.
- Object to or restrict certain processing.
- Withdraw consent at any time where processing is based on consent.
- Receive a portable copy of your data in a machine-readable format.
- Lodge a complaint with your local data-protection authority.
To exercise any of these rights, email privacy@mychefvision.com. We respond within 30 days.
10 Children's Privacy
The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
11 Changes to This Policy
We may update this policy from time to time. When we make material changes we will notify account administrators by email and update the "Last updated" date at the top of this page. Continued use of the Service after a revision becomes effective constitutes acceptance of the revised policy.
